WhatsApp Business for Albanian companies: the sales channel everyone uses and few organise
In Albania WhatsApp is where the sale closes: the hotel booking, the shop order, the property enquiry, the dentist appointment. Most businesses use it from the owner’s personal phone, without method, and lose half the messages.

Why WhatsApp in Albania
It is the most used app in the country, by every age. Customers prefer writing to calling or filling in forms. Foreign tourists use it to book. Kosovars and the diaspora to order. For most Albanian businesses, WhatsApp brings more customers than the site and email together. It must be treated as a channel, not a personal chat.
WhatsApp Business versus personal
The Business app is free and adds: the business profile (address, hours, site, description), the product or service catalogue, welcome and away messages, quick replies, conversation labels, statistics. It is installed on a dedicated number. An owner using their personal number mixes family and customers and cannot hand it to anyone.
The dedicated number
A business SIM, on a business phone or a second phone. The same number everywhere: site, Google, Instagram, business cards, sign. When the employee changes, the number stays. The number can be used on several devices at once (reception and owner). It is the first and most underrated step.
The profile
Business name, logo, a short description in Albanian and English, address with map, hours, site, email, category. A customer opening the profile must immediately understand who you are and where you are. Most Albanian profiles have only the name.
The catalogue
Products or services with photo, description, price and link. The shop: products with prices. The restaurant: the menu. The hotel: room types. The clinic: services. The real estate agency: the week’s properties. The customer sees the catalogue without leaving the chat and orders. Updated from the phone in minutes.
Quick replies
For the questions you get a hundred times: hours, address, prices, delivery, “do you have a table tonight?”, “how much is the room?”, “how do I get there?”. In Albanian, Italian and English, with a shortcut (/hours, /prices). They save hours a day and ensure every employee replies the same way. They do not replace the person: they help.
Labels
Conversations marked: new customer, new order, confirmed, shipped, booking, quote request, Italian, Kosovar. At the end of the day you know how many orders came in and which are waiting. For small volumes it is enough; for large ones you need a CRM.
Hours and the away message
The automatic message outside hours: “Thank you, we reply from 9 am. For emergencies call…”. The welcome message for new contacts: who you are, what you can do. A customer getting an automatic reply at night does not go to the competitor; one getting nothing does.
Linking with the site and ads
A fixed WhatsApp button on the site (with a pre-filled message: “Hello, I would like information about…”). The wa.me link on Instagram and Google Business Profile. Meta ads with the “WhatsApp messages” objective: the customer clicks and opens the conversation. The WhatsApp QR code on the menu, the table, the van. All roads lead to the same number.
Bulk messages: with consent
WhatsApp forbids bulk sending to people who have not consented and blocks the number. With written consent (check-in, form, order), a broadcast list of up to 256 contacts for offers: the summer offer to past guests, new arrivals to shop customers. A personal message, not an ad; no more than once a month. For large lists, you need the API version.
WhatsApp API for volume
When messages exceed hundreds a day or you need several operators, a chatbot, integration with the CRM and booking engine, automatic confirmation messages: WhatsApp Business API, with a cost per conversation. For large hotels, clinics, online shops with volume, developers. For most Albanian businesses, the free app is enough for years.
Measurement
The app’s statistics: messages sent, received, read. Labels: orders, bookings, enquiries. The note “how did you find us” to link WhatsApp to the site, Instagram or the ad. Reply time: target under 15 minutes in hours. Without measurement, WhatsApp remains “lots of messages” without knowing how many converted.
The mistakes
The owner’s personal number. An empty profile. No quick replies: every employee writes differently. Replying the next day. Bulk messages without consent (block). An outdated catalogue. Different numbers on the site and Instagram. Not marking orders: they get lost in chat. Not linking it to ads.
Example: a 25-room hotel in Ksamil
Before: the owner’s personal number, replies when possible, lost bookings, Italians writing and not getting an Italian reply. The work: a dedicated number on two devices (reception and owner), a complete profile, a catalogue with rooms and prices, quick replies in three languages, a night away message, a button on the site and Google, Meta ads with the WhatsApp objective to Italians. After one season: 60% of direct bookings from WhatsApp, reply time under 10 minutes, a guest list with consent for next year’s offers.
